# Inviting Your Leadership Team

> Give your board and officers admin access, and subscribe them to the right team emails

Admin access in GroupFlow is given one permission at a time. Give your board members, officers, and co-organizers accounts of their own, then hand each of them only the parts of the Admin Dashboard they need.

Two things have to be true before someone can open the Admin Dashboard: their account status is **Active Member**, and they have at least one admin permission. Neither one alone is enough.

## Adding a leader

    In the admin menu, go to **Members & Users › Members & Users**, then press the **+** button at the top of the page.

  <Step title="Enter their name and status">
    Enter their **Name**. Under **Account status**, choose **Active Member**.

    Under **Contact**, enter their **Email address**. This is the address they'll log in with, so it has to be one they can read mail at.

    Under **Admin Permissions**, turn on each permission they need. See the table below.

    Press **Create User Account**.

  Creating the account sends them nothing. The form says so: "This does not send an email to the member." Tell them yourself that their account is ready, and send them your group's website address.

## What each permission opens

GroupFlow's admin permissions are named for areas of the dashboard, not for job titles. Give a treasurer **Finances**, a newsletter editor **Group Announcements**, and so on.

There are eight of them, and [Admin Permissions](/concepts/admin-permissions) lists what each one opens. The two to know before you start: **Content Management** covers the whole website, including [Edit Mode](/website/edit-mode), and **Superuser** has the access of all the others combined — keep that one for the people who run the group.

Permissions apply only to active members. A non-member or an inactive member keeps their permissions on record, but they can't reach the Admin Dashboard until their status is **Active Member** again.

## Changing someone's permissions later

    Open the **Edit details** tab and scroll to the **Admin Permissions** section.

## Team email subscriptions

Separately from permissions, GroupFlow sends some of its own notices to admin teams — forum moderators hear about topics awaiting approval, the Calendar Team hears about new draft events. Adding someone to a team subscribes them to those messages.

In the admin menu, go to **Members & Users › Admin Emails** to open **Team Email Subscriptions**. Choose a team under **Select Team**, then find the person under **Select Member**. There are four teams:

| **Membership Team** | Member onboarding, dues management, and other tasks |
| **Applications Team** | Member application review and processing |
| **Calendar Team** | Event reviewing, scheduling, and publishing |
| **Forum Moderators** | Content moderation and forum governance |

<Warning>
  A team is an email list, not a permission. As the page itself says, adding someone to a team's email list "does **not** grant any admin access." Set permissions on the member's record, as above.

You can also subscribe someone while you're editing their record, under **Team Email Subscriptions**.

## Their first login

Send your new admin to your group's website and have them log in. On the **Account Login** screen they enter the email address you gave the account; on the next screen they can either enter a password or press **Send login code** and enter the code that arrives by email.

Once they're in, **Admin dashboard** appears in their account menu. They'll see only the sections their permissions open.
