# Communication Tools

> Introduction to using GroupFlow for communications.

## Overview

GroupFlow provides a complete set of built-in communication tools designed specifically for member-based groups. All communication happens inside your private group space, helping reduce reliance on email chains, Facebook Groups, and third-party chat tools.

GroupFlow’s communication features are designed to be:

* Private and member-only by default
* Easy to use for non-technical members
* Flexible enough to support day-to-day coordination and official announcements

## Communication Tools at a Glance

* Announcements
* Notifications & Preferences

## Direct Messaging

### What Direct Messaging Is

Direct Messaging allows members to communicate privately inside GroupFlow without exchanging or looking up email addresses or phone numbers.

Conversations can be:

* One-to-one
* Small group conversations

Only participants in a conversation can see its messages.

### Key Capabilities

* Real-time message delivery
* Multi-participant conversations
* Unread message indicators
* Message replies
* Clear conversation history for each member

### Notifications

Members can receive:

* Email notifications for new messages
* Push notifications (if enabled)
* In-app unread indicators

Each member controls their own notification preferences.

## Forums & Discussions

### What Forums Are For

Forums and discussions are designed for conversations that benefit from visibility across the group. They are ideal for shared planning, questions, updates, and ongoing conversations.

All discussions remain private to your group.

### Types of Discussions

#### Event Discussions

* Automatically created for every event
* All members can participate immediately
* Useful for:
  * Event coordination
  * Questions and clarifications
  * Ride-sharing or logistics
  * Post-event follow-up

#### General Forum Topics

* Created by members
* Require moderator approval before becoming visible
* Best for broader or longer-running conversations

### Discussion Features

* Threaded messages and replies
* Message likes (forums and event discussions)
* Unread topic indicators and badge counts
* Message deletion (based on permissions)

### Moderation Tools

Moderators can:

* Approve or reject new topics
* Archive or unarchive discussions
* Pause and resume conversations
* Delete individual messages

These tools help maintain healthy, focused conversations without relying on external platforms.

## Announcements

### What Announcements Are

Announcements are one-way messages from admins to members. They are designed for important updates, reminders, and official communication.

Members cannot reply directly to announcements.

### Types of Announcements

#### Group Announcements

* Sent to the entire group or selected member segments
* Delivered via email and push notifications
* Remain visible on the **Announcements page**
* Can be used as an ongoing newsletter or news archive

#### Event Announcements

* Linked to a specific event
* Can be sent immediately or scheduled in advance
* Useful for logistics, reminders, or last-minute changes

#### Attendee Announcements

* Targeted to specific RSVP groups:
  * All RSVPed
  * Going
  * Waitlisted
* Helps ensure event-related messages reach the right people

### Formatting

* Visual text editor for announcements and most admin-created content
* Supports rich text, links, and basic layout options
* Designed to be easy to use without technical knowledge

### Targeting

Announcements can be sent to:

* All members
* Specific member segments
* Individual members
* Event attendees by RSVP status

Targeting helps reduce noise and keep messages relevant.

## Notifications & Preferences

### Notification Types

Members can receive notifications for:

* Direct messages
* Forum and event discussion activity
* Announcements
* Event reminders and updates
* RSVP confirmations
* Dues and membership reminders

### Delivery Options

* Email notifications
* Push notifications
* In-app unread indicators

### Member Controls

Members can:

* Enable or disable notifications by category
* Temporarily silence notifications for a set period:
  * 1 hour
  * 1 day
  * 1 week
  * Custom duration (up to 1 year)
* Resume notifications at any time

## How These Tools Work Together

* Direct Messaging is best for private coordination
* Forums and Event Discussions support shared, ongoing conversations
* Announcements provide official, one-way communication
* Notifications keep members informed without overwhelming them

## Best Practices for Clubs
