# Managing Your Membership

> See what you owe, pay or renew your dues, turn auto-renew on, keep a card on file, and close your account

Being a member of a group on GroupFlow comes with two things to keep an eye on: when your membership runs out, and the card that pays for it. Both live on your **Account** page — your dues under **Billing**, and your standing in the group under **Membership**.

This page covers paying and renewing dues, the cards you pay with, and closing your account. Everything to do with signing in — your email address, phone number, password and Discord connection — is on [Creating Your Account](/member-docs/creating-account) under "Your account settings".

## What your Account page says about your membership

Open the user menu on your group's website and choose **Account**, or go to `/members/account`. The **Membership** section — "Your standing in the group." — holds:

| Row | What it shows |
| - | - |
| **Member status** | A pill reading **active**, **inactive**, **non-member** or **banned**. If you have applied and nobody has decided yet, a link beside it reads **You have a pending application**. |
| **Joined** | The date you joined, or **Not on record**. It isn't shown for a non-member. |
| **Points** | Your balance, as "12 points earned", with **View history** to see where they came from. Only groups that award points show this row. |

**inactive** is the one to act on: it means your membership has lapsed. Renew it rather than applying again — see below.

The **Billing** section — "Dues and the cards you pay with." — holds up to two rows, and which you get depends on your group and your standing:

* **Membership dues**, "See what you owe and your payment history", with **View dues**. Shown while your membership is active or lapsed.
* **Payment cards**, "Add, remove or change your default card", with **Manage**. Shown when your group takes card payments.

## Your dues

**View dues** opens **Member Dues**, which you can also reach at `/members/dues`. If your group has excused you from paying, a **Dues** row says so — a **Dues Exempt** pill and "You are exempt from paying dues." — and the rest of the page's dues rows are not shown at all.

Otherwise it lists:

| **Dues paid on** | The date of your last payment, or **(not paid)** |
| **Dues paid amount** | What that payment was |
| **Dues pricing option** | The plan and price you are on, with **change** |
| **Due date** | The day your membership runs out |
| **Dues auto-renew** | **on** or **off**, with **change** |

Under **Dues Payment**, a line tells you where you stand — "Your membership expires in 34 days.", "Your membership auto-renews in 34 days.", or "Your membership expires today." once it is the last day. A membership that has already run out gets a warning banner instead: "Your membership expired 6 days ago."

<Note>
  At the foot of the page, "If you have any questions, or if you encounter any problems, please contact the Membership Team at…" gives the address your group reads. Use it for anything about your own membership that this page can't settle — a payment that didn't go through, a plan you can't see, a date that looks wrong.

### Changing your pricing option

Groups can offer more than one plan, and more than one price within a plan — a standard rate and a concession, say, or a year against a month. **change** beside **Dues pricing option** opens "Select a different pricing option." and lists every plan your group currently offers, each price beside its name. Pick one and save; the new price is what your next payment charges.

Only the plans your group has open are listed, so the set can change between visits.

### Paying

**Make a Payment** sits under **Dues Payment**, and it is how you renew a lapsed membership as well as pay an upcoming one. It appears once your due date is less than about six months away, and always if your group holds no due date for you.

    Under **Membership Pricing**, "Please select a membership plan" lists your group's plans with a price beside each option. One may be chosen for you already — your group's usual plan, or the one you are on. The running **Total** is above the buttons, and **Continue** goes on.

    **Payment Method** opens on **Saved Cards** if you have any, each with its expiry and the default one marked **Default**. To pay with something else, choose **Add a new payment method** and enter the card below — the page says as much: "To use a different or updated card, choose "Add a new payment method" above and enter it here." With no cards saved, the card form is all you get.

    A new card offers **Save Card**: "Remember my credit card for future transactions (dues / events)." or "Do not remember my card." If you keep it and you already have cards saved, **Make this card the default.** appears too.

    The last button reads **Pay** followed by the amount.

When it lands you see **Payment Submitted**, then "Thank you for your payment!" and "Your member dues are paid." **Back** on any screen takes you a step backwards, and from the first screen out of the form altogether.

### Renewing a lapsed membership

A membership that has run out is renewed, not re-applied for. Going to the application page as an inactive member tells you as much: "You are currently logged in as an **inactive** member.", with a **Renew your membership** button that takes you to **Member Dues**. Pay from there as above.

### Auto-renew

With **Dues auto-renew** set to **on**, GroupFlow charges your default card when your membership comes due instead of waiting for you. **change** beside the row opens the **Auto-renew** checkbox, under the line "Requires a valid payment method on file to be enabled."

Turn it on without a usable card and the form says so straight away — **No active payment method**, "No active payment method is on file, so the renewal charge will fail. Save a card under Payment Cards on your Account page."

Once auto-renew is on, and while your membership still has time left, **Member Dues** adds a short health check on the card that will be charged. It opens with "Please check your **default payment card** and ensure it is up to date.", where **default payment card** takes you to your **Account** page, and then:

| **Card Expiration** | **Valid**, **Expired**, or **Expires By Due Date** — shown once you have a default card |

<Warning>
  **Expires By Due Date** means the card is fine today but runs out before your renewal is charged. Save a newer card and make it the default before the due date, or the charge won't go through.
</Warning>

## Your saved cards

**Manage** beside **Payment cards** opens **Payment Cards** in a window over your **Account** page. It holds every card you have saved, for dues and for event registrations alike. With nothing saved yet you get the **New Card** form on its own.

* **Add new card** opens **New Card**, and once you have a card saved already **Make this card the default.** sits below it. **Save Card** stores the card, and the page confirms with "Added payment method".
* Selecting a saved card swaps those buttons for **Remove** and **Make Default**. **Make Default** confirms with "Updated card"; it is unavailable on the card that is already the default.
* **Remove** deletes the card, and the page confirms with "Removed card".

Two things keep a card from being removed, and the page says which:

* "This is your only payment method on file and dues auto-renew is enabled. Add another card first, or turn off auto-renew on your **Dues page**."
* "This is your only payment method on file and it's needed for an event registration that hasn't been charged yet. Update the payment card in **your event registrations** first, then come back to remove this card."

In both cases **Remove** stays unavailable until you do what it asks.

## Dues reminders

Whether GroupFlow emails you before a payment is due is yours to set. **Notification preferences** — the **Notifications** section of your **Account** page, with **Manage** — opens **Email Notification Settings**, where **Dues: Upcoming dues payment reminders or past due reminders** sits under **Membership**. Clear it and the reminders stop; your due date doesn't move.

## Closing your account

**Deactivate** is the last item in your **Account** page's side menu, and the section it goes to is headed **Deactivate account**: "Leave the group and close your account. You'll be asked to confirm, and can choose to delete all personal data."

    Under "Please tell us why you're leaving:" there is a box for anything you'd like to tell the group. It is optional.

    Leave **Delete my profile and all personal data** clear to close the account and leave your record with the group. Tick it and, as the form says, "all your personal information will be permanently deleted from our system. This action cannot be undone."

    The last button reads **Yes, deactivate my account**, or **Yes, permanently delete my account and data** when you ticked the box.

<Warning>
  Deleting your personal data cannot be undone, and it takes your profile with it. If you only want to stop paying dues, turn **Dues auto-renew** off instead and let the membership lapse.
