Overview

Events are a central part of GroupFlow. Members use the Events area to discover what’s happening, view details, register, and stay connected before and after each event. This guide covers what members can see and do with events.

Events Pages

Browsing Events

When members click Events in the navigation, they see a list of upcoming and past events. Members can:
  • View Upcoming and Past events
  • Switch between:
    • List view
    • Calendar view
  • Search events by name
  • Filter events (when filters are available)

My Events vs All Events

  • My Events shows events the member has registered for
  • All Events shows all events visible to the member, based on:
    • Event visibility (public or members-only)
    • Membership level or tags (if used by the group)
This helps members quickly find events they’re already attending while still discovering new ones.

Event Description & Registration

Each event appears as a card with key details at a glance, including:
  • Event title
  • Date and time
  • Location (or online indicator)
  • Price (if applicable)
  • Visibility or eligibility tags
  • Available spots (if limited)
From the event card, members can open the full event page or (when permitted) edit the event.

Event Details Page

Clicking an event opens the Event Details page, which contains everything a member needs to decide whether to attend.

Event Information

Members can view:
  • Full event description
  • Date and time
  • Location and address (with map support)
  • Cost
  • Attendance limits
  • Guest rules
  • Organizer information
  • Any additional event-specific details
Members can also add the event to their personal calendar.

Attendance Response

When registration is open, members can respond directly from the event page. Options may include:
  • Going
  • Not going
  • Remind me later
The exact options depend on how the event is configured. For paid events, members will be guided through:
  • Selecting a ticket or price option
  • Completing payment
  • Receiving confirmation
Once registered, the event appears in My Events.

Event Capacity and Waitlists

If an event has limited capacity:
  • Members will see how many spots remain
  • When full, members may be able to join a waitlist (if enabled)
  • Members are notified if a spot opens up
This helps keep attendance fair and transparent.

Event Attendees

Members can view:
  • Who is attending the event (depending on group settings)
  • How many people are registered
Seeing attendees helps members feel connected and confident about attending. Event administrators, organizers, and volunteers can all manage attendance. See Attendance for more details.

Event Discussions

Each event includes a built-in discussion area where members can:
  • Ask questions
  • Coordinate logistics
  • Share updates or comments
  • Continue the conversation after the event
Event discussions help reduce long email threads and keep conversations tied to the event itself.

After the Event

  • After an event has passed, members can:
  • Revisit event details
  • Review discussions and comments
  • See who attended
  • Reference shared information or follow-ups
Past events remain available for reference unless the group chooses otherwise.

What Members Don’t Need to Worry About

Members don’t need to manage:
  • Event creation or configuration
  • Visibility rules
  • Pricing setup
  • Capacity limits
