When you have paid for an event you can no longer attend, you can give your ticket to another member rather than cancel. The person you choose takes your place as a paid attendee, and the place doesn’t go back into the pool for whoever happens to refresh the page first. Who you can give it to is decided for you: GroupFlow offers the people already on that event’s waitlist, longest-waiting first. That keeps the transfer in line with the order people joined the waitlist in, and it means the recipient has already said they want to come. If nobody is waiting, ask the member you have in mind to register — that puts them on the waitlist, and they then appear in your list.

When you can transfer

A transfer goes through only when all of these are true:
  • You have paid for your ticket. An unpaid registration, a free place, and a registration the organizers marked exempt can’t be transferred.
  • You are currently registered as going.
  • Your membership is active.
  • The event sells one ticket per registration. An event where each person can take several tickets doesn’t offer transfers.
  • The event’s registration deadline hasn’t passed.
Transfer my ticket is the button, and it sits in the Event Registration window among the other registration choices. If you can’t find it, read the two lines at the top of that window: they give your registration status and your payment status, which are the first two conditions above.

Open your registration

On the event’s page, press Update Registration.

Choose to transfer

In the Event Registration window, press Transfer my ticket.

Pick who gets it

Transfer Ticket lists the event’s Waitlisted Registrants, longest-waiting first, under “Select a waitlisted registrant to transfer your ticket to:”. Press one.

Check your choice

The window shows them under Selected Member. Choose a different member goes back to the list.

Confirm

Press Transfer ticket. The window confirms Ticket successfully transferred, and tells you “The recipient will receive an email with the transfer details.”

If nobody is on the waitlist

The window says “There are no waitlisted members to transfer your ticket to”, and tells you what to do: ask the member you have in mind to register for the event themselves. Registering for a full event puts them on the waitlist, and once they are on it they appear in your list and you can transfer to them. On an event that keeps a separate waitlist per ticket option, they have to join the waitlist for the same option you bought. The window says so, and it only ever offers you people waiting on your own option.

What changes for each of you

For the person receiving it, the transfer is complete on the spot. They come off the waitlist, their registration reads Registered and Paid, and they get the registration confirmation email. They don’t pay anything, and they don’t have to accept. For you, your registration becomes Not going and your name comes off the attendee list. Your payment stays with the group: GroupFlow doesn’t refund you and doesn’t collect from the recipient, so whether money changes hands between the two of you is yours to settle. Decide that before you transfer.
A transfer is final. Once you have given your ticket away you cannot register for that event again — the registration window tells you to contact the hosts. So be sure of the recipient before you press Transfer ticket, and if you may yet be able to attend, wait.
One transfer can be refused: somebody who has already paid for the event, or who is already registered off the waitlist, doesn’t need your ticket, and GroupFlow says so rather than taking it. Choose someone else from the list.
